Privacy Policy

The short version: BeaconFind runs entirely on your PC. Your files, your search queries, and your index never leave your machine, the app has no telemetry and no analytics. The only data we ever process is the minimum needed to sell you a license, deliver updates, and answer support email, plus whatever you choose to include in a problem report (Section 3).
1. Who we are
BeaconFind is developed and sold by the operator listed in the Impressum. For anything privacy-related, contact support@beaconfind.app.
2. What the desktop app does, and doesn't, send
Never transmitted on its own: your files, file contents, file names, folder structure, search queries, chat questions, AI answers, or the search index. All AI models run locally on your hardware, and the index is encrypted on your disk. The one way any of that reaches us is a problem report you send yourself, which Section 3 describes.
On its own, the app talks to our servers in exactly three situations:
- License activation & trial: when you start a trial or activate a license key, the app sends your email address (trial only), the license key, a device-bound public key (so a license can't be copied to unlimited machines), and the app version and operating system version. That's how we enforce the device limit on your plan (3 PCs on lifetime, 1 on monthly).
- Update checks: the app periodically asks our update server whether a newer version exists. This request contains the app version, update channel, and platform, no personal data.
- AI model downloads: on first launch the app downloads its AI models from our content delivery network (Cloudflare). Standard web-server logs (IP address, requested file) apply, as with any download.
You can block all of this at the firewall and the app keeps working, search stays fully functional offline; only activation, updates, and first-time model downloads need a connection.
3. Diagnostics you choose to send us
You can report a problem from inside the app (from version 1.3, under Settings → Help & Support), from beaconfind.app/support, or from your account page. Every report is voluntary: nothing in this section happens unless you press Send.
- The app log, only if you tick the box. The in-app form has a checkbox to attach the app's own log for the last three days and, if the app crashed, its crash log. Before upload, file names, folder paths and search text are removed from that log. You can choose to send it unredacted instead, for example when a file name is the problem; that is a separate switch, off by default, and it says so next to it.
- A short hardware summary goes with a report sent from the app: operating system version, processor, memory, graphics card, the app version and which AI tier is in use. It contains no file names or paths.
- Files you attach yourself (screenshots, recordings, a log you picked from disk) are stored exactly as you sent them. Nothing is removed from them, so check them first if that matters to you.
- Automatic reports, only if you turned them on. From version 1.3 the app asks once, on setup or on the Home page, whether it may send crash reports and error reports by itself. If you say yes, a report goes out without a further prompt when the app has crashed, and at most once a day when its log recorded errors. Those automatic reports always carry the redacted log described above (file names, folder paths and search text removed) and the hardware summary, never a screenshot or a file of yours. You can turn this off at any time under Settings → Help & Support; the app then asks before every report again.
- Your email address, if you give one. A report sent from the app also carries the same device-bound public key used for activation, so that when you leave the email field empty we can reply to the address on your licence.
What we store: the text of your report, your email address if we have one, the app version, the platform, the hardware summary, and the attached files. Where: a private storage bucket in the European Union (Cloudflare R2), reachable only by us. How long: 12 months, then it is deleted; earlier at any time on request to support@beaconfind.app. What for: handling your report, which includes telling you when a fix ships if you gave an email address. It is not used for anything else, not for marketing, not for training anything, and it is not shared.
4. Purchases
Payments are processed by Stripe; your card details go directly to Stripe and never touch our servers. We receive your email address, the product purchased, and the payment status so we can issue your license key and honour the 30-day refund policy. Stripe's own privacy policy applies to the checkout.
5. Email
We send transactional email only, trial verification codes, license keys, and replies to your support requests, via Resend. No newsletters without an explicit, separate opt-in, and no marketing lists you didn't join.
One exception, stated plainly: if you start a trial, we may send you one notice around the time it ends, and that notice can include a discount. It goes only to people whose trial is ending or has just ended, never to a general list, and it carries a one-click opt-out. Opting out stops offers and nothing else, so you still get your verification code, your licence key, and replies to your own support messages. You can also just email support@beaconfind.app and we will do it for you.
6. This website
- Hosted on Cloudflare Pages; Cloudflare processes standard access logs (IP address, requested page) to serve and protect the site.
- No advertising, no tracking pixels, no third-party analytics scripts, no cookie banners, because there are no tracking cookies. We count page views ourselves, in daily totals only, with no profile of you and nothing stored on your device to do it. Your theme preference (light/dark) is stored locally in your browser and never sent anywhere. If you would rather not be counted at all, open any page with
?bf_notrack=1on the end of the address: that preference is stored locally the same way, never sent anywhere, and this site stops counting you.?bf_notrack=0undoes it. - The interactive search demo on the landing page runs entirely in your browser against built-in sample data. Nothing you type in it is transmitted.
7. What we store, and for how long
- License records (email, license key, activated devices): kept for as long as your license is valid, plus what tax law requires for the purchase records.
- Trial records (email, device key): kept to enforce one-trial-per-device.
- Support email: kept as ordinary correspondence.
- Problem reports and their attachments: 12 months, then deleted; earlier on request. Details in Section 3.
8. Your rights (GDPR)
If you're in the EU/EEA you have the right to access, correct, delete, and export the personal data we hold about you, and to object to or restrict its processing. Email support@beaconfind.app and we'll handle it, usually within days, at most within the 30 days the law allows. You also have the right to lodge a complaint with your local data-protection authority.
9. Changes
If this policy changes in a way that matters, we'll note it in the app's release notes and update the date at the top of this page.
- September 2026: added Section 3 on problem reports and the diagnostics you can choose to send with them, including the optional automatic crash and error reports. The sections after it moved down one number; nothing else changed.
